Agreement and Waiver for Japan Retreat

1. Retreat Agreement

This Agreement outlines the terms and conditions for participation in the [Japan Retreat] , hosted by Kiyomi Takahashi/Inner Glow Yoga. By checking the box above, the participant agrees to abide by the terms and conditions outlined herein.

2. Retreat Dates and Location

• Start Date: 5/25/25
• End Date:5/30/25
• Location: Hamajima-cho, Shima City, Mie Prefecture, Japan

3. Included in the Retreat

• Accommodation: 5 nights' accommodation at a Double accommodation.
• Meals: Daily [Breakfast/Dinner] meals.  1 special Lunch.
• Activities:
  • Daily yoga and meditation sessions
  • Guided tours of sacred sites and cultural experiences
  • Traditional Japanese experiences (Japanese rice cooking, waterfall meditation)
• Transportation: Your retreat fee does not include airfare to and from Japan. Additionally, while we provide transportation for tours and a shuttle bus from the nearest station to the retreat site, other transportation within Japan is not included. For detailed information on transportation, including recommended flight itineraries, please refer to our website.
• Professional Guidance: Expert guidance from experienced Kiyomi Takahashi and local expert guides.

4. Payment and Refund Policy

• Payment Plan: 3 Monthly Payments of $897 (if registered by 2/24/25) Single Payment Required After 2/25/25

• Cancellation Fees:

  • Before 2/24/25: $500 non-refundable fee.
  • 2/25/25 - 3/24/25: 40% of the total retreat cost.
  • 3/25/25 - 4/24/25: 50% of the total retreat cost.
  • 4/25/25 - 5/14/25: 60% of the total retreat cost.
  • 5/15/25 - 5/24/25: 75% of the total retreat cost.
  • After 5/25/25: No refunds.

  Note: Cancellation fees apply regardless of whether full payment has been made.

  In Case of Rescheduling or Cancellation:

  We understand that unforeseen circumstances can arise, and we will make every effort to minimize disruptions to your retreat experience. However, in the event of catastrophic weather, fire, building damage, instructor injury, or other unforeseen circumstances, we may need to reschedule or cancel the retreat.

  Force Majeure and Cancellation Policy

  In the event of unforeseen circumstances such as catastrophic weather, fire, building damage, instructor injury, or other similar events, we will make every effort to reschedule or offer alternative arrangements. However, if cancellation becomes necessary, we will refund as much of the retreat fee as possible, excluding non-refundable costs incurred by the venue and tour companies.

  Mandatory Travel Insurance

  It is mandatory that you purchase comprehensive travel insurance to protect your investment. This insurance will cover potential losses due to trip cancellation, interruption, medical emergencies, and other unforeseen events.

  By checking the box above, you acknowledge and agree to purchase additional travel insurance to protect yourself in case of unforeseen circumstances that may arise during the retreat.

  5. Participant Responsibilities

• Participants are responsible for obtaining any necessary travel documents (e.g., passport, visa).
• Participants are responsible for their own health insurance and any medical expenses incurred during the retreat.
• Participants agree to abide by local laws and customs.

6. Liability Waiver Participants assume full responsibility for their own safety and well-being during the retreat. Kiyomi Takahashi/Inner Glow Yoga is not liable for any injuries, illnesses, or losses incurred by participants.

Waiver of Liability

In consideration of the services provided by Kiyomi Takahashi, I, the undersigned, hereby agree to release, waive, discharge, and covenant not to sue Provider, its officers, directors, employees, agents, and volunteers from any and all liability, claims, demands, damages, costs, expenses, or losses of any kind, whether known or unknown, arising out of, connected with, or in any way related to my participation in the retreat, including but not limited to:

Travel Risks: I understand and acknowledge the inherent risks associated with travel, including but not limited to: accidents, illnesses, injuries, property loss, and delays.
Activity Risks: I understand and acknowledge the risks associated with the activities and experiences offered during the retreat, including but not limited to: physical exertion, exposure to the elements, and potential for accidents or injuries.
Mental and Emotional Well-being: I understand that the retreat may involve emotional and mental challenges, and I assume full responsibility for my own mental and emotional well-being.
Professional Services: I understand that the retreat may include coaching, mentoring, or other professional services. However, I acknowledge that the outcomes of these services are not guaranteed, and I assume full responsibility for my own success and results.
I hereby agree to indemnify and hold harmless Provider from any and all claims, demands, damages, costs, expenses, or losses of any kind, whether known or unknown, arising out of, connected with, or in any way related to my participation in the retreat.

By checking the box above, I certify that I have read and understood the terms and conditions of this agreement and that I am voluntarily participating in the retreat.

7. Code of Conduct Participants agree to maintain a respectful and harmonious environment during the retreat. Any disruptive or disrespectful behavior may result in immediate removal from the retreat, without refund.

8. Privacy Policy: Kiyomi Takahashi/ Inner Glow Yoga will handle participant information with the utmost care and confidentiality. Personal information will only be used for the purpose of organizing and facilitating the retreat.
